Financial Administrative Assistant (Hybrid)

Since 2018, RISE has provided more than $8 million in funding and support to businesses creating cutting-edge products addressing everything from reducing shoreline erosion to helping commuters negotiate flooded roads.
Your role:
You will serve an essential role in the structure of RISE. As part of its operations, RISE manages funding and contracts with multiple small businesses working on regional pilot projects. You will help support the success of these pilots through managing and enforcing compliance and assisting with project execution. You will also support RISE’s financial administration and operation. An interest and/or knowledge of environmental and climate issues is helpful but not necessary. This role will require about 30 hours a week of hybrid work, but we’re flexible and hope you are, too.
Here You’ll Get To:
- Perform precise financial calculations, ensure contract compliance, and assist with contract modifications.
- Assemble and support weekly/monthly/quarterly/annual reports, track contract deadlines, and lead draw assemblies and invoice reviews.
- Review credit card statements, categorize expenses, and support reimbursement requests, invoice reviews, and audit preparation.
- Support ad hoc requests and assist the accounting firm with document requests as needed.
- Assist with accounts payable/receivable, monthly account reconciliation, financial reporting and data entry.
- Take and transcribe confidential minutes, generate recaps, and create clear reports and written materials.
- Handle sensitive information with discretion
- Plan RISE board meetings, including scheduling, note-taking and location coordination.
- Project/grant management. Status on award winners
- Ad hoc tasks as assigned.
About You
You Are:
- A proactive ‘self-starter’ who takes initiative to get things done and thrives without supervision but knows when to ask for support.
- Adaptable, able to work under pressure and maintain focus.
- Highly organized with excellent follow-up skills, time management abilities and attention to detail.
- Capable of maintaining a high level of confidentiality.
You Have:
- Excellent computer skills, including Microsoft Office (emphasis on Excel), G Suite, Dropbox, Zoom, and Calendly.
- Strong deadline awareness and workload prioritization skills.
- The ability to take direction and execute specific initiatives.
- Exceptional interpersonal skills to communicate with employees at all levels.
We’d Love It If You Also Had:
- 3+ years of financial experience.
- Experience with grant and contract programs and processes.
- Experience with budget administration in non-profit environments is a plus.
- Experience with QuickBooks, bill.com, or other accounting software.
- A college degree.
